Audiovisual Questions

What audiovisual equipment is available for my session?

The following audiovisual equipment comes with each presentation type:

Workshop

  • Screen and LCD Projector
  • Flip chart and markers
  • Podium and head table
  • Theater seating up to 100 people
  • Free Wi-Fi will be available in all meeting rooms

Does AAIM supply laptops for workshop sessions?

No, AAIM does not provide laptops for workshop sessions and speakers will provide their own laptops; AAIM will provide standard cables to connect the projector to your laptop.

Does AAIM provide Mac adapters?

No. If you require a Mac adapter for your session, please bring one with you.

Conference App Q&A (optional)

New for AIMW24, the conference app includes interactive session “Social Q&A.” The new Q&A feature is optional and workshop speakers are not required to use it. Below are instructions on how to view and use the Social Q&A.

From the AAIM Conference App:

  1. Select schedule from the list of menus
  2. Select workshop session
  3. Select “Ask a Question” (below the session description) in the “Resources” section
  4. Participants click the + sign to enter a new question
  5. For questions entered by others, click the up arrow (to the left of the question) to “up vote” the question in the list. Questions with the most upvotes rise to the top of the list.

Presentation Questions

Does AAIM print handouts for workshop sessions?

No, AAIM does not print handouts for workshop sessions. If you require handouts for your session, please bring them with you. AAIM will also post your handouts to the conference app along with your presentation. 

How early can I arrive to the meeting room to set up my presentation?

AAIM cannot guarantee entrance into your meeting room more than 15 minutes prior to your presentation. Most meeting rooms are in continuous use for sessions or committee meetings. Please check the agenda when you arrive onsite to confirm what time you can access the meeting room.

When should I submit my presentation?

Please submit all meeting materials (slides, handouts, articles, etc.) through the AIMW24 presentation upload link. AAIM provides workshop presentation material to all meeting participants on the AIMW24 app. Please submit all presentation materials no later than close of business Friday, March 22, 2024.

Where do I send my presentation?

Follow the instructions on the AIMW24 presentation upload link.

Why does AAIM request my presentation before the meeting?

AAIM posts presentations to the conference app prior to the start of the meeting so participants may download and view before the session, if desired. 

Can I update my presentation after the meeting has concluded?

Yes. Please submit updated meeting materials through the AIMW24 presentation upload link before, during, and after the meeting so that participants have access to the most up-to-date presentations.

Registration Questions

Do I need to register for the precourse if I am speaking at the precourse?

No. Speakers who elect to attend the precourse will not be charged the registration fee. However, if you intend to participate in any other part of AIMW24, please email meetings@im.org.

Do I have to register for AIMW24 to speak?

If you plan to attend any session other than the one you will be speaking at, you will need to register online. If you plan to attend only your session, you do not need to register for the meeting, and you will be registered as speaker only.

If I am not registered for the meeting, do I need to check in at registration?

Yes. Please check in at the registration desk at AIMW24 to receive a name badge.

General Questions

Can I add additional presenters to my workshop session?

Yes (but to not exceed the limit of 4 total). Please contact AAIM Conferences & Meetings Program Senior Specialist Jessica Darnell at (703) 341-4540 or meetings@im.org with any changes to speakers for your session.

Who should I talk to if I have questions while onsite at the meeting?

If you have any questions while onsite at the meeting, please visit the onsite registration desk and a member of the AAIM staff will assist you.

How will workshop rooms be set?

The workshop rooms will be set in theater style for up to 100 participants.

Can I change the way the room is set up?

Because meeting rooms are in continuous use, AAIM requests that speakers do not change the meeting room set. If you need to change the room set, you must return it to theater style at the end of the session.

What items must I submit prior to the meeting?

Please submit the following items prior to the meeting via email to meetings@im.org:

  • Speaker confirmation forms (via the link provided in the speaker confirmation email), were due Friday, December 15, 2023.
  • Presentations are due by close of business Friday, March 22, 2023.

How can I promote my session AIMW24?

New for AIMW24, the Alliance is offering speaker badges for use in email signatures or on social media.  There are two options available that can be downloaded below (to download, right click on the image below and choose "save image as").  Help promote AIMW24!

What is the schedule for AIMW24?

The AIMW24 schedule page and the meeting app (available after March 27) contain all agendas for the meeting.

How do I make my hotel reservation?
